TIMELINE SET UP

4 MONTHS BEFORE

Determine Dates:

1. Training – usually October

2. Packing Party - Last Saturday before Thanksgiving

2-3 MONTHS

BEFORE

1. Begin researching vendors, research previous year’s   

2. Process and feedback, begin ordering products locally & place national order

7-8 WEEKS

BEFORE

Update your website & create a registration/data collection form for Urban Partners, include Cru’s waiver form (if applicable)   

5-6 WEEKS 

BEFORE

Send out an email informing that registration is open

4-5 WEEKS

BEFORE

Send out reminder emails 

4 WEEKS

BEFORE

Conduct Orientation/Training

2-3 WEEKS

BEFORE

Close registration once full and switch to the waiting list.

1-2 WEEKS

BEFORE

Send email with allocation and pick-up time       

1 WEEK

BEFORE

1. Send reminder email with pick-up time

2. Get ready for packing party! Design warehouse layout,  Allocation tickets, line labels, etc

IT'S GO TIME!

Packing Party! Instruct assembly line, make sure everything runs smoothly, and answer any questions. Send follow- up/story form with volunteers doing deliveries.    

WEEK AFTER

1. Distribute remaining product to churches on the waiting list.

2. Record information from the event and thoughts to remember

for next year.  Update MPDx and Database Collection forms.  Fill out income &

Expense Report.

3. Update database of volunteers, partners, and donors 

2 WEEKS AFTER

1. Send feedback surveys and story forms to participating churches.

2. Fill out the National Accountability Report after feedback is collected. 

3. Post Outreach Fellowship Meal & Celebration for participating Church leaders.
